Responsibilites:

  • Greet all customers courteously, determining their needs and serve as a customer service point of contact
  • Gather required service work order information: Customer information such as company name, contact name, address, and phone number; Equipment/unit information; Requested repair, complaint, and/or failure. Gather details such as operating conditions at the time the complaint/failure occurred
  • Dispatch service technicians and schedule team labor for maintenances and/or repairs
  • Process work orders from beginning to final review to include technician’s hours, service call resolutions, and tool/parts charges/misc
  • Prepare and issue invoices
  • Develop service proposals/quotes in support of team operations
  • General office duties: filing, incoming and outgoing mail, order office supplies
  • Provide administrative support to team members as needed and assist in team members absence
  • Demonstrate a positive attitude and a high level of personal credibility and integrity with customers, management, and co-workers
  • Maintain company confidentiality
  • Attend and participate in all meetings, trainings, and activities as required
  • Stay apprised of new techniques relevant to the work being performed; achieve and maintain technical competency
  • Adhere to all company policies and departmental procedures and rules
  • Other duties as required

Qualifications and Competencies:

  • High school diploma, or equivalent
  • 3+ years of experience in customer service and dispatching
  • Prior experience working in the HVAC industry is preferred
  • Able to work in a fast-paced team environment
  • Must be able to multi-task
  • Possess strong customer service skills
  • Possess strong computer skills
  • Strong written and verbal communication
  • Professional telephone manners
